Account for every ringgit. Account to every donor.

Non-profit organisations in Malaysia work hard for every ringgit. Donors expect accountability. Regulators expect filings. Programme directors need real-time fund visibility. Daxonet implements AutoCount with NGO templates (or D365 Business Central for larger foundations) configured for multi-fund accounting, donor-restricted income, grant tracking, and the statutory rhythm Malaysian non-profits actually live in.

NGO volunteers and community impact
— On purpose

Daxonet implements ERP and fund-accounting systems for Malaysian non-profits across NGOs, charitable foundations, social enterprises, religious organisations, educational trusts, and community-based organisations. The stack uses AutoCount Accounting with NGO-extension templates for SME non-profits, or D365 Business Central + Project Operations for larger foundations and grant-driven organisations. Standard delivery includes multi-fund accounting (unrestricted, restricted, endowed funds), donor-specific reporting templates, grant project tracking with budget-versus-actual, statutory compliance for SSM / LHDN / EPF, online donation portal integration, and Power BI dashboards for board and donor transparency.

The Reality

Three problems quietly draining Malaysian non-profits.

01

Restricted funds get spent on the wrong things.

RM 80K from a restricted child-education grant gets used for a community kitchen. Auditor catches it. Donor loses confidence. Future grants harder to win.

02

Donor reporting eats programme time.

Programme officer spends a week per quarter compiling reports for 8 donors. That's a month a year not spent helping beneficiaries.

03

Statutory filings slip.

SSM annual return late. LHDN form CP-204 missed. Tax-exempt status questioned. The board panics. Founder spends weeks on remediation.

Capabilities

What Daxonet brings to every NGO engagement.

Volunteers and community programmes
01 · Multi-Fund Accounting

Restricted, unrestricted, endowed — never confused.

Each fund has its own ledger structure. Restricted funds enforce purpose. Endowed funds preserve principal. Unrestricted funds support general programmes. Auditors stop asking "where did this money come from".

  • Purpose enforcement
  • Per-fund balance reporting
  • Endowment principal preservation
02 · Donor Reporting

8 donors. 8 formats. One source of truth.

World Bank, USAID, JICA, MOSTI, foundation grants — each donor's reporting template configured once, populated automatically forever. Programme officer gets back a month a year to do real work.

  • Donor-specific templates
  • Auto-populated from system
  • 20-40 hours saved per quarter

Statutory filings and compliance
03 · Statutory Calendar

SSM. LHDN. Bersatu. EPF. SOCSO. EIS. All on one calendar.

Statutory deadlines tracked, alerts fire 30 days early, data auto-populates from system. Filings stop slipping. Tax-exempt status stops getting questioned.

FAQ

What do clients ask before commissioning this service?

We're a foundation with 12 active grants and 4 restricted funds. Standard accounting fails us.
Standard accounting treats every ringgit equal. Fund accounting doesn't — restricted funds can only be spent on their designated purpose, endowed funds preserve principal, unrestricted funds are general-purpose. Daxonet configures AutoCount or D365 BC with separate ledger structures per fund, automated allocation of overhead to funds, and fund-balance reporting at any point in time. Auditors stop asking 'where did this money come from'.
Donors want reports in their own format. Each one different. Help.
Donor-specific reporting templates are configured during go-live. World Bank, USAID, JICA, MOSTI, foundation grants — each has its own format. Once data is captured against the right fund and project, exporting to a donor-specific template is a button click. Most NGOs save 20-40 hours per quarter on donor reporting.
Grant accountability — we got audited and discovered RM 60K of overhead was wrongly allocated.
Grant overhead allocation is one of the highest-risk areas for non-profits. Daxonet configures allocation rules at go-live: fixed-percentage method, direct-charge method, time-distribution-by-survey method. Each grant's permissible overhead rate is locked. Allocations post automatically with audit trail. The 'wrongly allocated overhead' problem disappears.
We have 30+ volunteers and 15 paid staff. Payroll + volunteer expenses are tangled.
Volunteer reimbursements are configured as a separate AP workflow with their own approval chain and tax classification (typically not subject to PCB / EPF). Paid staff payroll runs through standard HRMS configuration with EPF, SOCSO, EIS, PCB. The two never mix. Volunteer reimbursements stay reportable for transparency without creating payroll-tax confusion.
Online donations come from 3 platforms — our website, FundRazr, GlobalGiving. How do we consolidate?
Each donation source is integrated as a daily import into AutoCount / D365. Donor records consolidate via email + phone matching. Recurring donors get tracked. Acknowledgement emails / receipts trigger automatically. Total donor lifetime value is visible per donor. Stewardship gets data-driven.
What about the SSM annual filing? Bersatu? IRB?
Statutory filings are configured as Power BI report packs. SSM annual return for registered societies. LHDN income tax for tax-exempt status. Bersatu / RoS reporting where applicable. Statutory monthly returns (EPF, SOCSO, EIS, PCB for paid staff). Compliance officer reviews and submits — no more reconstructing from spreadsheets.
We're a Muslim charitable foundation handling zakat and waqf. Different rules apply.
Zakat and waqf accounting requires Shariah-compliant fund treatment. Each zakat fund has prescribed allocation categories (asnaf groups). Waqf funds preserve principal and use only the income / yield. Daxonet has configured this for several Malaysian Islamic foundations, with reporting aligned to MAIWP / state religious authority requirements where relevant.
How long to go live?
Large foundation with multiple grants and Project Operations: 8-12 months.
